Position Summary Provides administrative support to the Executive and Leadership Teams. The role provides administrative coordination and communication to support the delivery of operational priorities of the organization. The Administrative Assistant performs a variety of administrative and clerical tasks, and supporting various team with daily operations. Position Relationships Reports to the Executive Vice-President & Chief Financial Officer. Will work with and may support members of the Executive Team, Leadership Team, committees, staff, clients and various outside organizations in the course of carrying out daily activities. Duties: - Provide administrative support for assigned committees, including: compiling and preparing information, invitations, agenda development, minute taking, editing, correspondence, reports and other documentation.
- Prepare correspondence and reports as directed, as well as, sort, review and store various documents.
- Coordinate revisions to documents such as operational manuals, policies and procedures, and ensure storage physically and electronically as appropriate.
- Use Outlook calendar to manage meeting requests, tasks, follow up flagging, etc. to ensure deadlines are met.
- Perform data entry, manage databases and general reports as directed.
- Work with other Administrative Support Staff and acts as back up for Executive Assistant and for other routine administrative matters.
- Other duties may be assigned and may not be limited to the scope of an individual department.
Qualifications: - Diploma in Office Administration or equivalent required.
- Medical Terminology course preferred.
- Minimum three years of experience in an Administrative Assistant role preferred.
- Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
- Experience in a healthcare environment preferred.
- Experience in document management systems.
- Initiative, sound judgment and attention to detail.

- Strong organizational and communication skills, effectively prioritizing tasks to produce high-quality work within deadlines while remaining adaptable and flexible.
