Position Summary:

Plans, implements and co-ordinates the procurement and distribution of supplies, the short-term and long-term scheduling needs, and the payroll needs for the organization.

 

Position Relationships:

Reports to the Manager of Clinical Services-Acute Care. Works as a member of the health care team ensuring co-ordination of clerical and materials management functions for the organization.

 

Duties:

  • Ensures organizational staff schedules are prepared and posted, meeting all scheduling requirements as set out by each of the respective bargaining units and directed by management. 
  • Assists with the staffing process as directed by the Manager or designate.
  • Prepares daily assignment sheets for the nursing departments.
  • Prints and delivers payroll sign-in sheets to various departments.
  • Daily entering of staff shifts and updating of payroll, and submission of payroll packages to Managers on payroll week.
  • Enter inventory levels and data through the electronic documentation system. 
  • Coordination of stock orders and non-stock inventory as required with procurement. 
  • Stocking of departments to meet organizational needs and maintenance of appropriate inventory. 
  • Adheres to all policies and procedures. 
  • Supports and demonstrates the mission, vision and values of the Organization. 
  • Other duties may be assigned and may not be limited to the scope of an individual department.


Qualifications:

  • Completion of an Office Administration program or equivalent.
  • Previous clerical experience in a healthcare setting.
  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
  • Strong organizational and communication skills, effectively prioritizing tasks to produce high quality work within deadlines while remaining adaptable and flexible.
  • Work independently and be self-directed in a fast paced and dynamic environment.
  • Exceptional Attendance required.
  • Must agree to adhere to DRDH standards of behaviour.
